BBQ Package Planning Timeline: What to Do From Checkout to Event Day
The Smokehouse CollectiveOnce you have shortlisted a BBQ package, the next challenge is making sure the order, delivery and event-day timing all line up. The food itself is only one part of the plan. You also need to confirm the venue, decide when delivery should arrive, prepare suitable cold storage, flag changes early and coordinate any chef support before guests turn up.
This guide starts after the package-selection decision and walks through the practical timeline from checkout to the first food going onto the grill. If you are still deciding what to order, read our guide to choosing the right BBQ food package in Singapore first. Once the package is chosen, use the steps below to make sure the rest of the event is organised around it.
Your BBQ Order Timeline at a Glance
| Stage | What to Confirm |
|---|---|
| Before checkout | Event date, realistic headcount, venue access, whether a BBQ pit is available, what tools/equipment need to be added separately, and whether chef support is required |
| At checkout | Preferred delivery date, delivery window, reachable contact details, add-ons and any relevant instructions |
| After ordering | Delivery details, order contents and any amendments that need to be raised early |
| Before delivery | A recipient for handover, clear venue access and enough refrigerator or freezer space |
| When delivery arrives | Order contents, raw or frozen items, cooked or ready-to-eat additions and the correct handling for each |
| Before grilling or chef arrival | Thawing and storage guidance, equipment readiness and chef timing if booked |
| Event time | Delivery, food handling, equipment and chef coordination should already be resolved |
Thinking through the sequence before checkout is easier than fixing several moving parts on the day itself. The most important point is to treat delivery and storage as part of the event timeline, not as something to work out once the food is already on the way.

Before Checkout — Lock In the Event Details
Start with the details that are difficult to change later: the date, a realistic headcount and the venue. Confirm whether the venue already has a usable BBQ pit and whether there are access restrictions that could affect delivery. Different venues can have different handover points, so know where a driver can stop before selecting a delivery window.
Equipment should be planned at the same time. The current BBQ food packages do not automatically include the BBQ pit, charcoal, fire starters, grilling tools or disposable equipment, so these need to be arranged separately where required.
If you need the main grilling essentials in one add-on, the Smokehouse Essential Equipment Toolset covers items such as BBQ tongs, a brush, wire mesh, aluminium trays, foil, plates, cutlery and other serving and grilling essentials. The charcoal-grill version also includes charcoal, fire starters and a lighter gun.
If your venue does not already have a grill, arrange a BBQ pit separately. Individual items such as charcoal, fire starters, tongs, wire mesh, trays and disposables can also be added from the BBQ Tools & Accessories range.
If you are considering chef support, make that decision early as well. Chef services and large-scale events are best booked at least seven days ahead to secure availability. A chef should therefore not be treated as a last-minute event-day add-on.
👉 Before checking out, make sure the food, pit and grilling equipment are all accounted for so nothing essential is left until event day.
At Checkout — Plan Delivery Around Your Event
When you order a BBQ package online, you can select your preferred delivery date at checkout. Same-day delivery is available for most food orders, and the BBQ Food Packages page currently states a minimum four-hour preparation time for same-day package orders.
Delivery is available across Singapore in 1-hour or 2.5-hour windows between 10am and 8pm. The delivery partner will contact the recipient before arrival, and handover is made at the nearest accessible lift lobby, carpark or loading area rather than necessarily at the exact event space.
Choose a window that leaves enough time for handover and proper storage before guests arrive. If the event starts immediately after the delivery window, a traffic delay, difficult loading access or a missed call can leave very little room to organise the food.
For the latest fees, remote-location charges and delivery rules, check the current Delivery Policy before completing the order.

After Ordering — Review the Details and Flag Changes Early
Once the order is placed, check the delivery date, address, contact number and any add-ons or instructions you selected. If something needs to change, raise it as soon as possible rather than waiting until the event date.
Order amendments can be requested through WhatsApp, but they remain subject to preparation and delivery schedules. Current guidance also sets notification cut-offs for delivery time or address changes: morning-slot changes should be raised by 6pm the day before, while afternoon-slot changes should be raised by 11am on the day.
If the venue, recipient or event timing changes, tell the team as early as possible.

Before Delivery Arrives — Prepare the Handover and Storage
Make sure someone will be available to receive the order during the selected delivery window. If no one is there, the driver may need to continue with other deliveries, and waiting or redelivery charges can apply.
Storage should be ready before the food arrives. Current handling guidance says to keep items refrigerated until around 1–2 hours before cooking and not to re-freeze food once it has thawed. For planned events, moving sealed items from the freezer to the refrigerator overnight is the recommended thawing method.
BBQ food can arrive frozen or partially frozen for temperature control. If your order also includes cooked or ready-to-eat additions, organise each item according to its handling instructions rather than treating every tray or pack the same way.
Finally, confirm the grilling setup. If your venue does not already have the required tools, the BBQ Tools & Accessories range includes pits, charcoal, fire starters, disposable sets and equipment kits.
👉 Before the driver arrives, clear the storage space and make sure the person receiving the order knows where everything needs to go.
When Your Order Arrives — Check and Organise It
Check the delivery shortly after handover rather than leaving everything unopened until the BBQ begins. Compare the items against your order, organise the food according to its handling requirements and move everything into appropriate cold storage.
If anything is missing, incorrect or spoiled, The Smokehouse Collective asks customers to report it through WhatsApp within 30 minutes of delivery so the team can review the issue and arrange the appropriate next step.
Check the equipment and add-ons you expected at the same time, rather than discovering something is missing once guests arrive.

Adding a Chef? Coordinate the Service With Your Food Order
If you want a BBQ package with chef support, plan the chef and food timings together rather than assuming they will arrive as one delivery. By default, the food and chef arrive separately. Chef services and large-scale events are best booked at least seven days ahead.
If you want the chef to receive the food on your behalf, current guidance is to extend the chef's service time and use the 1-hour delivery model so the delivery and chef arrival can be aligned.
Chef-tier comparisons belong to the dedicated chef-service content rather than this package timeline.

Common Timeline Mistakes to Avoid
Leaving Chef or Large-Event Arrangements Too Late
Chef services and large-scale events carry longer lead-time guidance, so treat the chef decision as an early planning item.
Choosing a Delivery Window Without Checking the Recipient
The recipient should be reachable and know where the handover is expected to happen; missed handovers can lead to waiting or redelivery charges.
Forgetting About Chilled or Frozen Storage
Clear enough refrigerator or freezer space before delivery and follow the handling guidance for the individual items.
Assuming Equipment Is Included
The BBQ food packages do not automatically include the BBQ pit, charcoal, fire starters, grilling tools or disposable equipment. Arrange these separately before the event, whether through the Smokehouse Essential Equipment Toolset, a BBQ pit or individual tools and accessories.
Waiting Until Event Time to Check the Order
Check the order promptly: missing, incorrect or spoiled items should be reported within 30 minutes of delivery.
Treating Delivery Changes as Guaranteed
Delivery time or address changes are subject to published cut-offs, so flag changes as soon as you know.
👉 The easiest way to avoid most of these problems is to resolve the recipient, storage, equipment and chef timing before the delivery date.
FAQs About Planning Your BBQ Order
How Far in Advance Should I Place My Order?
Same-day delivery is available for most food orders, and we currently have a minimum four-hour preparation time for same-day package orders. Ordering earlier gives you more room to confirm availability. Chef services or large-scale events should be booked at least seven days ahead.
Can I Order a BBQ Package Online and Choose the Delivery Date?
Yes. You can order through the website and select a preferred delivery date at checkout. This takes you directly from package selection into delivery planning.
When Should I Arrange Delivery Relative to My Event?
There is no single rule for every event. Base the timing on venue access, recipient availability, storage and when the food needs to be prepared or thawed. Leave enough time to check and store the order before guests arrive.
Can I Change My Delivery Time or Address After Ordering?
The team will try to accommodate changes. Current guidance asks for notice by 6pm the day before for morning slots and by 11am on the day for afternoon slots. Earlier notice is better.
What Should I Prepare Before My Delivery Arrives?
Make sure the recipient is reachable, access is clear and there is enough chilled or frozen storage. Check the venue's BBQ pit and equipment, then add only what the order does not already cover.
Can I Add a BBQ Chef to My Order?
Yes. Food orders can be paired with the BBQ Chef Service. Chef services should be booked early, and food and chef arrive separately by default, so coordinate their timings.
What Should I Do if Something Is Wrong With My Order?
Report missing, incorrect or spoiled items through WhatsApp within 30 minutes of delivery. The team will review the issue and advise on the next step.
What if I Am Still Deciding What to Order?
This timeline assumes you have already narrowed down the package. If you are still comparing package types, use the separate BBQ food package selection guide first, then return here once the order itself is decided.
Ready for Event Day?
Once the delivery timing, recipient, storage, equipment and any chef support are confirmed, there should be very little left to solve when the event begins. The food can move from handover to proper storage and then to the grill without last-minute decisions getting in the way.
